Job Description: 

We are seeking a highly organized and detail-oriented Intake Coordinator to assist with daily front office operations and ensure the smooth functioning of our workplace. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to multitask efficiently in a fast-paced environment.

 

Duties & Responsibilities: 

  • Administrative Support: Manage office supplies, handle mail, and maintain filing systems. Will also assist Office Administrator through assigned tasks and projects
  • Front Desk/Receptionist Duties: Greeting and signing visitors in/out along with answering/transferring phone calls.
  • Scheduling & Coordination: Assist with organizing meetings, appointments, scheduling, and company events. 
  • Communication: Act as a point of contact between employees, clients, and vendors.
  • Office Maintenance: Assist Office Administrator with ensuring the workspace remains organized, functional, and stocked with necessary supplies.
  • HR Support: Assist with the badging process for new employees and temporary hires. 
 

Requirements & Qualifications: 

  • Proven experience as an Office Coordinator, Receptionist, Administrative Assistant, or similar role.
  • Strong organizational, communication, and time-management skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and other relevant software.
  • Experience in workflow management softwares such as monday.com or Asana.
  • Ability to handle multiple tasks and prioritize effectively.
  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
 

Preferred Qualifications: 

  • Experience with office management software and administrative tools.
  • Familiarity with receptionist duties and guest intake.
  • Customer service experience is a plus.
  • Strong critical thinking skills.
  • Familiarity with basic administrative workflows and following compliance guidelines. 
  • Problem-solving mindset and ability to work independently.
 
  • Salary: $18 per hour
  • At least 21 years of age
  • Willing to work part time, maximum 30hrs per week.
